Importing old bank statements into QuickBooks Online

A bookkeeping catch-up usually starts with a folder of PDF statements, not a live bank connection, because QuickBooks Online's own bank feed and download options only reach back so far. Here's what QuickBooks Online now does natively with a PDF statement, and how to handle years of statements at once.

Catching up years of statements at once

  1. 1Convert every statement PDF for the account through Arkrel first. It reads the transaction table in any bank's PDF, not a specific bank's template, so a folder of statements from several banks, or several years from the same bank, converts the same way.
  2. 2Check every balance before anything reaches your books. Arkrel checks the opening balance, every credit and debit, and the closing balance on every statement, and flags the exact line if a statement's own printed numbers don't add up.
  3. 3Import the QuickBooks CSV one account at a time, starting from a date at least one day before your oldest QuickBooks transaction in that account (QuickBooks Online's own instructions ask for this), then match, categorize and reconcile in QuickBooks Online as usual.

Arkrel reads the transaction table in any bank's PDF, not a specific bank's template, the same way whether you're converting one statement or a hundred: the opening balance, plus every credit, minus every debit, must equal the closing balance, and on a statement that prints a running balance, each row must follow from the one before it. Do I need the paid plan for a multi-year catch-up?

What does QuickBooks Online now do with a PDF statement directly?
QuickBooks Online's own instructions (updated August 24, 2026) say you can upload an account statement as a PDF or an image file, from any bank, as long as it's in English. QuickBooks' AI extracts the transaction info and shows it in a side-by-side view next to your original statement before you save it, which works well for a recent, clean statement or two.
