Catch-up and monthly close, without importing a broken statement blind

A client hands over a year of bank statement PDFs headed for QuickBooks Online or Xero. Before you import, Arkrel checks whether every page of that file was actually processed and whether the balance adds up.

The catch-up problem

A broken bank statement does not announce itself before it is in your ledger. Arkrel checks the statement against itself first: that every page of the file you uploaded was actually processed, and that the opening balance plus every transaction equals the stated closing balance, naming the exact transaction when a row's running balance breaks. Bookkeeping and accounting firms doing catch-up and cleanup work still catch statements like that by reviewing every row by hand, which is most of what makes catch-up billable time expensive.

What Arkrel checks on a statement, today

Balances and totals checked, by name

When a statement’s transactions and its opening and closing balances are extracted, opening balance plus every credit minus every debit is checked against the stated closing balance, and, where the statement prints a running balance, each row’s running balance is checked against the row before it. When the running balance breaks, it names the exact transaction (for example, "Transaction 14: printed balance is 2,343.15, but the previous balance plus this row’s amount is 2,243.15"). When the opening-to-closing math itself doesn’t tie out with no single row to point to, it reports the expected and stated totals so you know how far off you are and where to start looking.

Every field points back to the page

Each extracted field carries a source page, plus a bounding box or text span pinpointing exactly where on that page when the engine can locate the value there. When it can’t, the page number is the engine’s best guess at where the value came from, not a confirmed location, so you can click through toward the original PDF instead of taking the extraction on faith.

Failed documents are free

If a document ends as failed (unreadable, or no usable data could be extracted), its pages are not counted toward your plan and never billed as overage. A scan that jams the extractor costs you nothing to find out.

QuickBooks CSV, tested in a real company

The QuickBooks Online export was import-tested end to end in a real QuickBooks Online company on September 27, 2026, using Arkrel's own default upload settings. See the bank statement to QuickBooks guide for the exact steps.

Xero CSV and OFX

A Xero CSV built for Xero’s "Import a Statement" columns, and an OFX file for either ledger, with a stable transaction id (FITID) on every row so re-importing the same statement is recognized as a repeat instead of duplicating it.

Upload however the statement arrives

The dashboard, a per-organization email-in address for forwarded PDFs (add +bank to it, e.g. yourfirm+bank@in.arkrel.com, so a forwarded statement is checked as one instead of defaulting to an invoice), the REST API, the Zapier app (by invite link ahead of its public listing), or the n8n community node (n8n-nodes-arkrel).

A firm catching up 15 clients, each with 12 months of statements backlogged, averaging 4 pages a statement:

15 clients × 12 statements × 4 pages = 720 pages for that catch-up run

Does this replace QuickBooks Online’s or Xero’s own PDF import?
No. Arkrel does not touch how you import into QuickBooks Online or Xero; it runs before that, on the PDF itself: checking whether every page you uploaded was actually processed and whether the statement’s balances and running totals reconcile, naming the exact row when a running balance breaks, so you know what you are about to bring in. Either way you still get a QuickBooks CSV, Xero CSV or OFX file.
What happens with a statement that does not reconcile?
You still get the export. Arkrel marks the document partial or needs_review and shows exactly which check failed and by how much, so you can fix or flag what's wrong instead of importing a total that is silently off.
Does a scan or a badly-photographed statement cost me anything if it fails?
No. A document that ends as failed is not counted toward your plan and is never billed as overage.
Can a client upload straight into my workflow instead of me collecting PDFs by hand?
Every organization gets an email-in address a client can send statements to directly; add +bank to it (e.g. yourfirm+bank@in.arkrel.com) so a forwarded bank statement is checked as one instead of defaulting to an invoice. The REST API, Zapier and n8n node all accept uploads the same way the dashboard does. There is no client portal or branded upload link yet.
Do I need a paid plan to try this on a real statement first?
