Build a record around the trip
Give the trip a recognizable name in your own files. Save the dates, destination, business purpose and relevant meeting or event details with the itinerary. Link the hotel bill, transport receipts and other supporting records to that trip reference.
For travel covered by IRS Publication 463, the expense records and supporting evidence need to establish the relevant facts. Keep amounts, timing, place and business purpose together. A statement is useful payment evidence, while the trip records explain the activity behind it.
Keep business and personal changes visible
If you extend a visit for personal reasons, retain the original plan and the revised dates. Keep any separately identifiable personal purchases clear in your notes. Follow bookings through changes and refunds
A booking confirmation, a final bill and a card charge may show different amounts. Keep cancellation notices, changed reservations and refund confirmations with the original booking. Mark an unresolved refund on your own follow-up list until you can see what actually happened.
For a hotel stay, save the itemized final bill even if a reservation email is already filed. For a combined payment, retain the provider's breakdown. This helps explain why the amount posted to the card differs from the amount you first expected.
Check spending across the trip and later statements
Look for the initial booking, the travel-period purchases and any later adjustment. A single statement month may contain only part of the trip. Save any off-statement payment evidence with the trip records and identify it for your preparer.
Keep driving records in the mileage system or log you already use. Fuel charges alone do not describe the journeys made. For client-paid or reimbursed costs, retain the agreement and repayment details as another part of the trip file.
